Pre-Launch Session: Homework & Tips

Modified on Thu, 05 Jan 2023 at 08:28 AM

Please remember that change can be hard for some staff & parents until they get used to the new process & tools. Please request staff to present the program positively to families, colleagues, and community members. Our team is here to help both parents and staff through this transition.

TABLE OF CONTENTS

Post Pre-Launch Session Homework:

  • Run test with all staff to ensure logins, wifi, & overall readiness
  • Use the portal live! Be patient & encourage staff
  • Gather feedback from core staff & decide next level goals

Administrator Checklist:

Please login to your portal and review your settings:

  1. Settings Wheel >> Dismissal >> Confirm your dismissal start times are accurate after testing.
    •  Note: Announce time should be about 15-20 minutes before the bell. Please DO NOT REMOVE Saturday or Sunday shift to allow parents to make changes over the weekend. Grades not included in a shift will not be able to use the app for changes or dismissal.
  2. Settings Wheel >> General >> Dismissal >> Review which pick up modes you have toggled on and confirm any settings listed for each.
    • Note: We recommend notifications for pick up/dismissal be left off for the first few days of use to avoid any confusion by parents if staff is testing or makes a mistake.
  3. Please confirm that students are properly assigned to classroom groups & classroom teachers have looked at their roster to confirm all are accounted for on the dismissal progress page.

Car Line Staff Checklist:

  1. Please test your smart phone, tablet and/or other devices that you will be using in the carline areas. The wifi strength and data signal should be strong & the Pikmykid Dispatcher Car Line page should show "live updating" along the top.
  2. Please do a test run for around 50 student names/IDs with your fellow car line staff so you can experience how students move from Announce line to Active line and queue up.
    • Note: Remember, if you are using Carline in "batch mode", the whole line will not move until you dismiss all students from the active line, even if you choose to dismiss 1 car at a time. If you are using carline in "sequential mode", the queue will shift up to the next spot each time you dismiss a student.
  3. Use the HOLD option to move students out of the active line if you are waiting for them and let other cars move forward preventing a delay in dismissal.
    • Note: Some school settings have the default button next to the setting as the "HOLD" button (this is best if you will use the dismiss all option to dismiss all active line students at a time), others choose to have the default button as the "DISMISS" button (this is best if you will dismiss each car one by one). Your administrator can change this in the settings wheel of the portal under general. If you choose to display the "DISMISS" button you can still use the hold function by toggling on advanced controls in the upper right of your dispatcher page.
  4. Be prepared the first few days to use the magnifying glass to search for student info to force insert if the parent only has the car tag and not the app yet.
  5. Go out to the car line about 15-20 minutes before dismissal and walk the line getting parents who have already arrived lined up into the Pikmykid portal queue.

Classroom Teacher Checklist:

  1. Classroom teachers should access their Dismissal Progress page and filter by their classroom group(s) to make sure the students are going to the right pickup area and are aware of any plan changes. This is also where you will watch once dismissal has started to know when to send students out to their dismissal zones.
  2. When the bell rings, teachers should send out students whose names have the status of ACTIVE line or NEXT line. The Dismissal Progress page will continue to refresh, pushing student names to the top of the list as their status changes and moving students off the list as they are dismissed for the day. If your classroom is far away from the dismissal zone, please check the WAITING line status too if needed.  This will keep your dismissal running smoothly and quickly.
  3. If you see a student with the status of HOLD that means the dismissal zone staff had to ask the parent to wait to the side since the student has not yet arrived in the dismissal zone. Please check the student left your classroom or if they did some time ago you may want to communicate to an admin on their possible location. Ideally very few students should be put on HOLD so they pick up can continue at an efficient pace.
  4. Send the students for Bus when the Bus status shows as arrived or your administrator directs you otherwise.
  5. Send students down to Walker or After School zones based on status updates your administrator directs.
